How to Write a Virtual Assistant Email Proposal

How to Write a Virtual Assistant Email Proposal

Whether you’re a new virtual assistant or you’re looking to expand your client base, knowing how to write an effective email proposal can make all the difference in being contacted for an interview. At VA Biz Lady, we’ve had decades of experience contacting potential clients for a variety of virtual assistant jobs. Over the years, we’ve customized and updated our email proposal templates accordingly. Learn from our experience, and our mistakes, by following these three crucial steps for an effective and compelling email proposal.

Research the Client

Before you even think about writing an email proposal, you need to complete a bit of research about the possible client. Most virtual assistant job postings include a website or social media account where you can find more information. Spend some time reading through their website discovering more about who they are and what kind of services or products they offer. This allows you to tailor, as well as personalize, the email proposal according to their business goals and needs.

Follow Directions

I know this may sound pretty basic, but it’s very important to follow all directions laid out in the virtual assistant job posting. I’ve filled out plenty of email proposals that have included items such as specific wording to include in the subject line, whether or not to include references, and how to attach a copy of your portfolio or sample of your work. Many potential clients do this for two reasons. First, they want specific information from each candidate in order to discover who is a good match for their business. Second, they want to know which candidates have taken the time to read and follow directions. This is one way many clients will weed out potential applicants.

Share Your Experience

Once you’ve researched the client, you can now share any of your experience that is relevant to the particular virtual assistant position. Are they looking for someone who can write blog posts? Share your blogging experience, including the various platforms you’ve worked with. Are they looking for someone who can conduct basic data entry? Share a brief list of the data entry tasks you’ve completed for past clients. You can share other areas of your experience as well, but you’ll want to highlight the experience that is most relevant to the position for which you’re applying.
