What to Include in a New Client Welcome Packet (Part 1)

When you’re welcoming a new client to your virtual assistant business, you want to be sure you’re doing so with both professionalism and courtesy. Having a complete onboarding system, including a New Client Welcome Packet, will ensure your business relationship begins with open communication and a set of expectations that both parties can agree on. Welcome Letter

The Welcome Letter is the initial contact once your new client has agreed to work with you as his or her new virtual assistant. It explains all documents that are included in the Welcome Packet, along with the specific action that needs to be taken with each one. 

Virtual Assistant Contract

It’s very important to have both you and your new client sign a Virtual Assistant Contract. This document is a record of the agreed-upon services, along with clear expectations of the tasks to be performed, the rates to be paid, and when payment is due. This form protects both you and your client in the event there are any questions or disagreements in the future.

Client Questionnaire

The purpose of the Client Questionnaire Sheet is to gather all information needed to effectively and appropriately complete the tasks you’ve been hired to perform. It’s a starting point; down the road as your services expand you may be gathering more information. For now, it will include the following information filled out by your client:

  • Client contact information
  • Methods of business operations
  • Social media and website information
  • Business tools used
  • Payment information

Description of Services

While the Virtual Assistant Contract will include a general description of the services you’ll be providing, the Description of Services form provides a very detailed list of the specific tasks to be performed. This information, of course, will depend on what you are being hired to do. If you are providing social media management services, the client should fill out the information in regards to each platform you are managing, along with a detailed account of the specific items that need to be completed on a daily, weekly, or monthly basis. Once completed, you’ll want to review this sheet to ensure you are both clear on the service expectations.

Job Proposal

The Job Proposal form is actually used when bidding or applying for a virtual assistant position. Once you’ve had an initial meeting with the potential client, you’ll want to send him or her a Job Proposal. This form clearly explains, in detail, the services and tasks provided, along with the expected rate of pay. Although you will have already sent this form to your new client, you’ll want to include it again (already filled out) as part of the overall contract and service expectations.
