How to Apply the Pomodoro Technique to Your VA Business

Let’s refresh: What is the Pomodoro technique? It is a time management method that uses a timer to break your daily schedule into short intervals of focused work accompanied by short breaks. This allows you to work consistently and productively without becoming distracted or tiring your brain out too quickly.

Now that you know the basics of what a Pomodoro is and how it can be beneficial to productivity, let’s take a look at what a typical Pomodoro Technique may look like for you.

Set the Timer for 25 Minutes of Work

Once you’ve set your timer for 25 minutes, you are focusing only on the task at hand. You’ve eliminated all distractions and can now work strictly on the project you’ve chosen for this focused time of work. If something does come up that needs to be addressed, simply pause the timer, take care of the matter quickly, and then get right back to work.

Take a 5-Minute Break

Congrats! You’ve worked consistently for 25 minutes. Now set the timer for 5 minutes and take a quick break. You can do anything during this time. It’s really what works best for you.

  • Pour yourself another cup of coffee.

  • Anything else that can be done in 5 minutes.

After the Fourth Cycle, Take a 15-30 Minute Break

The goal with the Pomodoro Technique is to provide you with the time needed to work on small or large projects productively and without distraction. One cycle of 25 minutes of work and a 5-minute break allows you to break down larger tasks into small intervals without getting overly tired or overwhelmed. Once you’ve completed four of these cycles, it’s time to give your brain a much-deserved break. Set the timer for 15-30 minutes and do something that will refresh your mind. You can also plan your Pomodoros around daily tasks such as:

  • Picking the kids up from school.
  • Taking care of household chores.
  • Running short errands.
  • Prepping for dinner.
